Studio Access & Overtime

Each booking includes a 30-minute grace period, which may be applied either at the start or the end of the hire. A standard booking day is nine (9) consecutive hours, with time commencing as soon as the first member of the Client’s team arrives on site. All time spent on the premises - including setting up, waiting, shooting or packing down - is counted towards the total booking period.

Cancellation Policy

All confirmed bookings remain liable for the full hire fee in the event of cancellation. Where more than forty-eight (48) hours’ notice is provided, the booking may be rescheduled subject to a rebooking charge equal to fifty percent (50%) of the hire fee. Where less than forty-eight (48) hours’ notice is given, the full hire fee will apply again to any subsequent rebooking. Should Myrtle Studios be required to cancel, deposits will be refunded in full, unless the cancellation arises from a breach of these Terms by the Client.

Invoice Notice Period

Any disputes regarding invoices must be raised within seven (7) days of the invoice date. After this period, the invoice will be deemed final and not subject to further amendment or challenge.

Excessive Waste Policy

By prior arrangement, large set pieces or materials may be left on site at the end of a booking. A reasonable disposal fee will be applied to cover the costs of removal and waste management.

Tea & Filter Coffee - FOC

1. General terms

“Client” refers to the company or individual booking the facilities, plus their team. By booking Myrtle,

the Client confirms they are satisfied with the facilities. These Terms form the entire agreement.

Myrtle may rely on instructions given by anyone acting on the Client’s behalf.

2. Intellectual property

All intellectual property in the Client’s content remains with the Client. Myrtle may use excerpts for

promotion (website, social media, press).

3. Orders, Quotations, Pricing & Payment

Written confirmation (such as by email) is deemed binding and carries the same contractual weight as submission of the Booking Form. Quotes are valid for thirty (30) days. Fees are charged in accordance with the Rate Card unless otherwise agreed in writing, and all prices are subject to VAT. Late payments will attract interest at eight percent (8%) per annum above the Bank of England base rate. Myrtle Studios reserves the right to suspend services, withdraw discounts, vary credit limits, or require full upfront payment at its discretion. Any concerns relating to services must be raised within seven (7) days, and any disputes relating to invoices must be raised within seven (7) days of issue. After these periods, all services and invoices shall be deemed final.

5. Studio & Office Facilities

A Myrtle Studios representative will usually be present on site during bookings. Clients must tidy and remove sets unless agreed. Clients are liable for damage. Parking fines are not Myrtle’s responsibility under any circumstances. Clients must hold insurance. Deliveries pre-agreed. Rigging may incur extra charges. Occupancy limits apply. Animals welcome if agreed in advance (resident dachshund often on site). A standard booking day is nine (9) hours, inclusive of rigging and de-rigging.

6. Overtime

Overtime is any time on site beyond the standard nine (9) hour booking day, after the 30-minute grace period. Overtime is charged at a single hourly rate according to the space hired: Studio 1 (S1) - £200 per hour, Studio 2 (S2) - £100 per hour, and Studio 1 + Studio 2 (combined) - £250 per hour. Overtime is subject to studio availability and is payable in addition to the agreed day rate and any other charges.

7. Booking Conditions

By booking, Client agrees to abide by Terms, payment terms, and use only confirmed
facilities/equipment/personnel.

8. Mechanical & Electrical

Myrtle presumes anyone operating its equipment is qualified and competent. It is the Client’s

responsibility to ensure their crew are capable and qualified for the roles they are undertaking. The

Client will be held liable for any misuse or damage caused. Myrtle is liable for the safety of its own electrical equipment. Myrtle is not liable for any equipment failure or delays caused by electrical or mechanical faults. The Client must ensure that all electrical equipment brought on site is safe and PAT-tested.

Photographers may bring personal cameras without surcharge. Myrtle can provide consumables at

an additional charge, or the Client may bring their own. Power cuts from external sources are not the responsibility of Myrtle; the studio will not be liable for any resulting losses.

8A. Kit Hire Insurance

When renting equipment through our supplier (GAS Kit Hire), insurance must be arranged either via Myrtle Studios or directly by the Client. If the Client opts for Myrtle-arranged insurance, an insurance charge of fifteen percent (15%) of the kit hire fee will apply. In this case, any damage is covered subject to an excess of two hundred pounds (£200) per claim, payable by the Client. If the Client chooses to rely on their own insurance, they remain fully liable for any damage, loss, or theft of hired equipment. Failure to provide proof of adequate cover may result in refusal of hire.

9. Health & Safety

Whilst on Myrtle premises, the Client is responsible for their own insurance and that of any third parties they employ, covering theft, loss, or damage to equipment. Myrtle accepts no liability for such claims. The Client is also responsible for arranging insurance to cover personal injury to crew, cast, or models, and liability to any third parties. The Client is solely responsible for the health and safety of their shoot. Myrtle provides a First Aid Kit but may not have trained First Aid personnel on site. In the event of fire alarms or evacuation, Clients must leave immediately and remain outside until clearance is given to return. Under no circumstances may inflammable liquids or pyrotechnics be used. A smoke machine may be permitted only with prior written agreement and will incur fire alarm deactivation/reactivation charges. Drug use of any kind is strictly prohibited, and Myrtle reserves the right to terminate the booking immediately, without refund, if drug use is identified on site

9A. Insurance Requirements

The Client must ensure they hold adequate and valid insurance policies for the duration of their booking, including (but not limited to): Public Liability Insurance with a minimum indemnity of five million pounds (£5,000,000), covering injury to persons (including cast, crew, and third parties) and damage to property; and Employers’ Liability Insurance (where applicable), as required under UK law, covering injury or illness to the Client’s employees or contractors. Myrtle Studios reserves the right to request proof of such insurance prior to or during the hire. Failure to provide proof may result in refusal of entry or termination without refund

10. Security and Safety

Myrtle is not responsible for the Client’s lost, stolen, or damaged goods or equipment at any time. All property is brought onto the premises entirely at the Client’s own risk. The Client must inform Myrtle in advance of any shoots involving excessive noise (including music playback), set-builds, nudity, stunts, children, or animals, to ensure that appropriate precautions or facilities can be provided. The Client must also disclose any known allergies affecting cast, crew, or visitors so that Myrtle can take reasonable precautions

11. Termination

Myrtle Studios may terminate a booking immediately in the event of non-payment, insolvency, criminal activity, or breach of these Terms by the Client. No refunds will be issued in such circumstances

12. Completion & Delivery

Myrtle will use reasonable efforts to meet deadlines but is not liable for delays.

13. Storage of Client Materials

Stored materials at Client’s risk. Storage fee £50/day for large items. Uncollected items may be disposed of after one (1) month at Myrtle Studios’ discretion.

14. Force Majeure

Myrtle is not liable for delays beyond control (e.g. strikes, weather, acts of God).

15. Warranties & Liability

Myrtle provides services with reasonable care but excludes all other warranties.

Myrtle shall not in any circumstances be liable for any consequential, indirect, or special losses,

including (but not limited to) loss of profit, business, goodwill, reputation, contracts, or opportunities,

whether or not Myrtle had been made aware of the possibility of such losses.

Myrtle is not liable for any loss of quality attributable to processes carried out during services, nor for

stoppages, breakdowns, or failure of facilities. Myrtle’s liability is capped at the total fees paid by the Client. Clients must insure their own materials to full replacement value.

Nothing in these Terms limits liability for death or personal injury caused by Myrtle’s negligence.

16. Confidentiality

Clients must keep Myrtle’s non-public information confidential unless required by law

17. Sub-contract

Myrtle may sub-contract services without notice

18. Licence to Occupy

Client occupies Myrtle as licensee only, not tenant. Occupation is personal, subject to payment of fees

19. Notices

Formal notices may be sent by recorded mail, registered mail, or email. Notices sent by mail will be deemed received two (2) working days after posting, and notices sent by email will be deemed received upon successful transmission unless otherwise notified.

20. Miscellaneous

Myrtle Studios may update these Terms from time to time, with the current version available online. No delay or omission in enforcing any provision of these Terms shall constitute a waiver of that or any other provision. These Terms are governed by English law and subject to the exclusive jurisdiction of the English courts. If any provision is held invalid or unenforceable, the remainder shall continue in full force. Myrtle cannot guarantee an allergen-free environment. These Terms constitute the entire agreement between the parties and supersede all prior discussions, communications, or arrangements.
